The EU project WeObserve (“we”, “us”) is committed to protecting and respecting your privacy. This Privacy Policy describes the basis on which your personal data will be processed by us in connection with your participation in the WeObserve surveys and research activities.

Please read the following document carefully, to understand our views and practices regarding your personal data and how we will handle it. When you participate in our surveys and relevant research activities, the provisions described in this Privacy Policy will apply to our processing of your personal data.

What is WeObserve

WeObserve is a project funded by the European Union’s Horizon2020 Programme under Grant Agreement No.776740. It started in December 2017 and it will finish in November 2020. WeObserve aims to improve the coordination between existing Citizen Observatories and related regional, European and International activities. The WeObserve mission is to create a sustainable ecosystem of COs that can systematically address the three key challenges (awareness, acceptability, sustainability) and help to move citizen science into the mainstream.

The project coordinator is the International Institute for Applied Systems Anaysis (IIASA), Austria and the partners are: IHE Delft Institute for Water Education  (IHE Delft), Netherlands, University of Dundee (UNIVDUN), United Kingdom, Ecological and Forestry Applications Research Centre  (CREAF), Spain, Institute of Communication and Computer Systems (ICCS), Greece, European Citizen Science Association (ECSA) E.V., Germany, Autorita di Bacino dei Fiumi Isonzo, Tagliamento, Livenza, Piave, Brenta-Bacchiglione (AAWA), Italy.

Purpose of Personal Data Processing

The WeObserve project is collecting information on the tools and methods used in existing Citizen Science and Citizen Observation projects. Information of the tool which is provided may be shared with the WeObserve Communities of Practice, on the WeObserve Knowledge Platform or through WeObserve written deliverables. This information will not contain any of your personal data.

The WeObserve Consortium will use personal information provided to contact you about the information you provide in the form. This contact will be a follow up if there is any information that is unclear or there is an area which would benefit from further information and/or details of use. Only WeObserve partners will have access to your personal data. As WeObserve is a consortium of several legal entities (as listed above), the data collected will be shared within these third-party organizations, however it will not be transferred to external actors or projects.

Categories of data that will be stored

If you consent to the processing of your personal data for the above-mentioned purposes, the categories of personal data that will be collected and stored in the WeObserve project are:

  • your first name (mandatory)
  • your surname (mandatory)
  • your email address (mandatory)
  • your organization (mandatory)

The Consortium will process the personal data of subjects according to the present statement and for the purposes declared herein.

Security of Processing

The security and protection of your personal data is very important for the Consortium. The Consortium has undertaken all appropriate organisational and technical measures to secure the data that are collected. We are only storing/processing collected data until the end of the project (November 30, 2020), during which time we are committed to its protection according to EU General Data Protection Regulation, see below. After the completion of the project, personal data will be deleted from our databases. We take appropriate measures to ensure that all personal data is kept secure including security measures to prevent personal data from being accidentally lost, or used or accessed in an unauthorised way. Those WeObserve consortium members processing your information will do so only in an authorised manner and are subject to a duty of confidentiality.

Exercise of your rights

It is noted that according to the General Data Protection Regulation (Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016), you may exercise the following rights that derive from the Regulation:

  • Right of access and right to rectification for inaccurate personal data
  • Right to erasure of personal data if they are not necessary for service provision
  • Right to restrict processing of your data
  • Right to object to the processing of your data
  • Right to withdraw your consent to processing of your data
  • Right to data portability, namely right to receive your data in a structured, commonly used and machine-readable form so that they can be transferred to another data processor.
  • Additionally, you have the right to submit a written complaint to the responsible supervisory body for personal data protection in each country.

The General Data Protection Regulation also gives you right to lodge a complaint with a supervisory authority, in particular in the European Union (or European Economic Area) state where you work, normally live or where any alleged infringement of data protection laws occurred.
